    Chief Delivery Officer – JD

    The Chief Delivery Officer partners with the Chief Executive Officer, Managing Director and Finance Director to optimise the operational and financial efficiency of the agency.

    The Chief Delivery Officer reports into the Chief Executive Officer and manages the Resource & Operations, Production and Project Management teams.

     KPIs for success: 

    • Deliver a (minimum) 20% profit margin (controllable EBITDA) for ENGINE; Creative pillar, through:

    • Designing and implementing (or maintain existing) robust workflow contingency systems to manage peaks and troughs of delivery/work throughput.

    • Continuously monitoring and managing the efficiency and profitability of the end to end delivery process and sub processes (through accurate reporting tools and regular status updates).

    • Apply short term, quick win solutions to alleviate the symptoms of issues within the end to end delivery process then apply medium to long term solutions to fix the root causes of all issues.

    • Being a key enforcer in ensuring that all depts. and dept. heads adhere to the plan for maintaining overall profitable, efficient and high-quality delivery.

    • Support CEO and FD with monitoring job profitability that is delivered by the production and account management teams

    • Partner with CEO and FD to monitor manage staff cost ratios to profitable targets.

    • Management of freelance and outsource solutions to robust and profitable levels. 

     The key responsibilities will include: 

    Overall Management

    • Support CEO and FD in annual budgeting and planning process for the organization's annual, providing insight and input, regarding utilisation & staffing.
    • Seek to drive business efficiency through detailed analysis of operational reports and forecasting resource and staffing trends
    • Support the CEO in reviewing, optimising and establishing services to provide additional value to clients and implementing this change across the business
    • Support the FD and Legal team with Managing 3rd party contracts and SLA legalities
    • Develop short and long-range resource forecasts
    • Review and audit all client and supplier contracts alongside Finance and Legal Counsel, specifically assessing the delivery of agreed SLA’s, engagement requirements and deliverables.
    • Senior Stakeholder in defining core business proposition and establishing market opportunity
    • Support the FD in ensuring all depts. and dept. heads adhere to the plan for maintaining overall profitable, efficient and high-quality delivery

     Financial

    • Deliver appropriate KPI metrics to the Delivery, Operations and Resource teams
    • Manage incentives and sanctions against achievement of KPIs for Delivery, Operations and Resource teams
    • Collaborate with Financial Director during forecasting cycles and input on operational costs
    • Partner with the FD, when required, in negotiation of contract with Clients’ procurement departments
    • Support in commercial negotiation of Client retainer agreements to the good of the business’ interests
    • Support CEO/ FD in identifying the correct opportunities for internal Client investment and present proposals for review and approval by CEO/FD , and challenge the incorrect approaches
    • Support the FD and finance team with ensuring overall profitable business performance
    • Support CEO and FD in monthly and quarterly assessments and forecasts of organization's financial performance against budget, financial and operational goals
    • Freelancer management:  own management of freelancer budget and reporting on spend and predicted spend for the pillar.  Approve escalated freelance hire requests.  Track freelance billability weekly and challenge poor use of freelance resource
    • Outsourcing management: approve use of outsourced partner for freelance resource for projects and retainers. Track spend on all outsourced partner resource and report weekly and monthly predicted and confirmed spend figures.  Ensure outsourced partner resource is well briefed, managed and communicated with for successful outcomes – Reworded
    • Oversees the supplier management: Manages external suppliers (software vendors, outsourcing partners) to ensure outsourced projects are delivered on time, within budget and to ENGINE standards

    Organisational Effectiveness

    • Support & collaborate in the management operational functions, systems and processes
    • Continuously monitor both project efficiency and profitability of the end to end delivery process and sub processes (through accurate reporting tools and regular status updates).
    • Drive initiatives in conjunction with management team and organizationally that contribute to long-term operational success
    • Mentor and guide the delivery and resourcing function on project management frameworks

    • Contribute to short and long-term organisational planning and strategy as a member of the executive leadership team
    • Aim to strengthen client relationships by ensuring the successful continuance of business operations & project deliverables

    • Set mutually agreed KPIs and incentivising programmes for your reports

    Skills and Experience required:

    • Analytical capabilities: Identifies key information, issues and trends from operational reports. Identifies and designs operational reports to provide further insight
    • Stakeholder management: able to successfully manage multiple suppliers, partners and client/s to ensure best outcome for ENGINE. Keeps stakeholders informed of progress at all times and manages expectations proactively
    • Analytical capabilities: Identifies key information, issues and trends from operational reports.
    • Data manipulation: Able to manipulate (operational) data using spreadsheets and analytical tools. Generates reports to provide insight into health of business
    • Extensive experience in an operational role in a dynamic, project-based environment (e.g.   agency, professional services firm, management consultancy) where clear structure and process may not always be apparent
    • Knowledge of one or more business operations/professional services automation system as an administrator or super-user
    • Knowledge of one or more business tools (. e.g. AX)
    • Experience of business process review and design
    • Multi-tasking - ability to work on multiple projects and tasks simultaneously ensuring delivery of all to the highest standards
    • Problem solving - uses creativity to unblock issues and problems
    • Proven ability to work well under pressure, with a high degree of flexibility and fluidity and to have an objective focused and positive approach, and be comfortable working independently, is self-motivated and self-driven
